Introduction #

The Sales worksheet of the Reseller Toolkit is where you can track all of the sales that you make during the current year. Any time a sale happens, you should enter it in this tab.

Some of the columns here are populated with data from the Inventory tab, and most of the data you enter here will feed into other tabs.

Columns #

Item Title: Begin typing in this column and it will automatically start populating items from your Inventory tab. Choose the correct item to populate it in the cell. Please note that you can only record sales for items in your inventory, so if you sell something not listed there, you must add it to the Inventory tab first. You should also only select each inventory item once, as it can only be sold once. If a cell turns red when entering an item, this means a duplicate is detected and it may have already been sold; the template doesn’t prevent this, and the red formatting is just to warn you that there might be an issue that should be investigated.

ID: After entering the title, the ID and other columns in blue will automatically populate with records from the Inventory tab. We do this so that you don’t have to switch back and forth between tabs, and it makes reporting and analysis easier. You should not try to override the ID or other columns in blue.

Sale Date: Enter the date you sold the item in a 12/31/2025 format. This field is required and should be entered as soon as you record a sale.

Selling Price: This one is really critical and can cause confusion; this is the price someone paid inclusive of any tax, fees, shipping, or other costs that have to come out of the sale price. In most cases, it’s simply the final amount someone paid for an item. (Make the value net of shipping costs only if you had to pay for shipping costs out of that total amount.)

Platform: Choose the platform where the item sold.

Shipping Cost: If you paid for shipping out of the selling price, enter the amount paid for shipping here.

Fees: Include any item-specific costs other than shipping and taxes here. (For generic fees or fees that apply to multiple items, like eBay store fees or set-up fees, enter them on the Expenses tab instead since they are not directly linked to a single item.)

Taxes: If you collected sales tax that must be remitted to the government, and the amount was included in the Selling Price amount, enter the tax value in this field. The amount will be deducted from the selling price to calculate profit (and for later tax reporting). Most online platforms automatically calculate, charge and remit tax automatically for you, and in that case it shouldn’t be included here. An example of when you would use this column would be for in-person sales, like flea markets or Facebook marketplace locally, where you might be obligated to collect and remit sales tax on your own.

Cost: The amount paid for the item, as recorded in the Inventory tab. Note that items that you sell on commission should show a $0 cost.

Net Profit: This is the amount you are left with for the sale, so the selling price minus the item cost, shipping, fees and taxes. Note that for items sold on commission, this value is before commissions are paid out.

Refunded?: If an item is refunded, change this column to “Yes”. By doing so, it will be excluded from reporting and the spreadsheet will treat the row as if no sale was ever made. To relist an item, enter it again in the Inventory tab as available for sale (and since titles must be unique, add an identifier to the end of the name, like ” – Relisted”). This approach will allow you to track refunds and sales without modifying your original records so that you can track original purchase and refund details.

Days to Sell: This is simply the number of days from when the item was listed to when it sold.
